All accounting files can be found in the ‘Voucher History’ table. The latest file will always be at the top of the table. In table view, you can see the most important information from the file.
Once the file you have ordered is finished, it will then come into the ‘Voucher History’ table.
From the ‘Voucher History’ table view you can also run accounting files using the existing files. All you need to do is select the files that you want to rerun. Then, choose new accounting dates (the files will be created with same selections but with new date) and click "Create".
You can also download multiple files at once by choosing the files you need, then by selecting the file format at the bottom of the page. Click download.
Table items
ID
The files will always be given an ID in running order.
Select
You can use this to select multiple and run those again with new dates in the Voucher History view. Or you can choose multiple and download files by choosing the file, then by selecting the file format at the bottom of the page. Click download.
Voucher name
Will be the name you have given to the file + the ID number.
Company
It informs which companies the file has been created for. If empty, it is for all entities into which you have the right to.
Portfolio
It informs which portfolios the file has been created for. If empty, it is for all portfolios.
Module
It indicates for which models (Lease, FX and Loan) the accounting run is meant for.
Template name
Template used for this run.
Account type
Realised or unrealised. Depreciation for leases is unrealised.
Start date
It means the start date for a realised file.
End date
It indicates the end date for realised files, or the reporting date for unrealised/depreciation files.
User
The person who has created the file.
Warning
This is a section where you will get all messages when trying to create a file but the system is for some reason unable to do it. The message should tell you what the problem is.
Created at
It indicates when the file has been created.
Action
Eye (open) - Under this view you can see the data in the browser view. From this view you can also mark the file as ‘downloaded’. This only means that if you select "Yes", you will have a tick in the voucher history table downloaded column. This informs all users that the file has already been uploaded into your company’s ERP.
Undo - If you click this icon, the system will create an opposite posting of all postings in the file as a separate new file.
Download excel - By clicking this you can see the data in excel format.
Excel total - By clicking this you will see the postings on the account summary level in excel.
Txt file download - This icon will appear only to those files where you have chosen the template format to be a txt file type.
Reverse unrealised - This icon will come to only those files that are unrealised and if the "Unrealised reversal in the same file" is in inactive mode. By clicking this the system will create an unrealised reversal file from the original file. The postings will be dated to the start of the next month and with opposite sides.
Downloaded
This information is controlled under the Eye (open) - icon. This only means that if you select "Yes", you will have a tick the voucher history table downloaded column. This informs all users that this file has already been uploaded into your company’s ERP.
