In ‘Accounting Settings’ you create the accounting template (explained in the document "Creating accounting template") and set additional accounting rules for your data import into your accounting system.
Below we have explained the settings page item by item:
Refencence codes for accounting
Realised account type name
If you have chosen the "Account type" item as one column in your template, the information given in this field will come into the template if the file is a realised file.
Unrealised account type name
If you have chosen an "Account type" item as one column in your template, the information given in this field will come into the template if the file is unrealised or a depreciation file.
Debit name
If you have chosen the "Debit credit info" item as one column in your template, the information given in this field will come into the template if the posting belongs to the debit side.
Credit name
If you have chosen the "Debit credit info" item as one column in your template, the information given in this field will come into the template if the posting belongs to the credit side.
Special accounting rules
Cost center to only P&L postings
If you have specified in the "Last balance sheet account number" the last account that belongs to your BS, by activating this tab the system will bring cost center information to only postings that are going into an account that belongs to P&L accounts. The system believes that all account numbers from 1 - "Last balance sheet account number" belong to BS and then account numbers after that belong to P&L.
Profit center to only balance sheet postings
If you have specified in the "Last balance sheet account number" the last account that belongs to your BS, by activating this tab the system will bring profit center information to only postings that are going into an account that belongs to BS accounts. The system believes that all account numbers from 1 - "Last balance sheet account number" belong to BS and the account numbers after that belong to P&L.
Last balance sheet account number
From your chart of accounts, this is the last account that belongs to the balance sheet. All numbers after that are considered to belong to P&L.
No header in txt file
By default, the system will create txt file format accounting templates, so that there is one header row for each posting , and then two posting rows (for debit/credit). If you don't need this header row, activate this tab.
No file for same period
By activating the option, you make it so that no one can create - for one entity - the accounting data for the same period twice. You will get a message into your voucher history table if this is the reason why the file was not created.
Unrealised reversal in same file.
By default, you need to reverse your unrealised postings with a separate file for the beginning of next month. By activating this tab the system will create the reversal postings into the same file as the month end postings will be. For unrealised postings you need to run files only once..
Transit account
A transit account (aka a clearing account) is usually needed when you need to create a txt file format accounting template and you need to have a header row above each posting row. Here, the problem is that for some realised posting there are uneven amounts of postings (you need to even amount 1 header 2 posting level). The solution for this issue is that for all realised posting we use a transit account as an opposite posting for each posting. This way, you will always have an even amount of debit and credits. The transit account balance will always end up zero because all postings will be posted here from another end.
The transit accounts will only be used for realised accounting runs. To make this happen, choose the first "Use transit account in realised postings"-tab active.
Transit account name
Give this transit account a name. Usually, companies have these types of clearing accounts in their balance sheet and close bank accounts in the account hierarchy.
Transit account number
Usually, companies have these types of clearing accounts in their balance sheet and close bank accounts in the account hierarchy.
Transit account counterparty code default value
If you have internal transactions in the system and you don't want to bring the counterparty code set up in the company view for this transit account, you can define here a default value that will come to all internal transactions as default counterparty code.
Additions to lease accounting
Include total cost
By default, the system will not bring any postings from your total lease cost (fixed+service). By activating this, you will see a new item in Account mapping (total cost). Then, you need to give the posting rules for this one (realised and unrealised) and you will then have postings for the total lease cost if needed.
Include service cost
By default, the system will not bring any postings from your leases service cost. By activating this, you will see a new item in Account mapping (service cost). Then you need to give the posting rules for this one (realised and unrealised) and you will then have postings for the service.
Total cost for non-ifrs only
By default, the system will not bring any postings from agreements where the IFRS accounting tab is inactive. By activating this, you will see a new item in Account mapping (total cost). Then, you need to give the posting rules for this one (realised and unrealised) and you will then have postings for total lease cost if needed.
